Barn location tracking helps you quickly see where each horse is located, organize work by barn or area, and manage stall assignments effectively. The color-coded barn system makes it easy to identify locations at a glance, whether you’re planning feeding routes, coordinating farrier visits, or managing turnout groups.

What Are Barn Locations?
Barn locations in EquineOps represent physical areas where horses are kept - barns, buildings, paddocks, or any distinct areas in your facility.
Why Track Barn Locations?
Knowing where each horse is located helps with:

- Organize stall cleaning by barn or area
- Coordinate turnout groups based on location

EquineOps uses color-coding to make barn locations instantly recognizable throughout the system.
How Color-Coding Works
When you create a barn location, you assign it a color. That color then appears:
- Horse Lists: Small color dot or bar next to each horse’s name
- Schedules: Color indicates which barn the task or activity is in
- Dashboards: Quick visual scanning by barn location
- Reports: Group horses by barn with color indicators
- Mobile App: Easy location identification on small screens
Choosing Barn Colors
Select colors that:
- Contrast Well: Easy to distinguish from each other
- Match Reality: Use colors similar to actual barn colors if possible
- Make Sense: Logical associations (green for “Pasture Barn”, blue for “Main Barn”, etc.)
- Stand Out: Visible against both light and dark backgrounds
Color Accessibility: Choose colors that are distinguishable even for team members with color vision deficiencies. Avoid red/green combinations as sole differentiators.
Setting Up Barn Locations
Create barn locations for each distinct area in your facility:
Navigate to Facility Settings
From the main navigation, go to “Settings” and select “Facility” or “Barn Locations”.
Click “Add Barn Location”
Click the ”+ Add Barn Location” button to create a new location.
Enter Barn Name
Choose a clear, descriptive name:
Good Names:
- “Main Barn”
- “South Barn”
- “Stallion Barn”
- “Training Barn”
- “Indoor Barn”
- “Quarantine Area”
Avoid:
- “Barn 1” (not descriptive)
- “The barn” (unclear if multiple barns)
- “B” (too abbreviated)
Select a Color
Click the color picker and choose a color for this barn:
- Preview how it looks against different backgrounds
- Ensure it’s different from other barn colors
- Consider logical associations with the barn’s purpose
Add Barn Details (Optional)
Include additional information:
- Description: “Main show horse barn, 20 stalls”
- Number of Stalls: Total stall capacity
- Address: Useful for large facilities with multiple addresses
- Manager: Person responsible for this barn
- Notes: Special information about this barn
Save Barn Location
Click “Create Barn Location” to save. The barn is now available for horse assignments.
Stall Assignments
Once barn locations are set up, assign horses to specific stalls within each barn.

Assigning a Horse to a Stall
Open the Horse Profile
Navigate to the Horses page and click on the horse you want to assign.
Click “Edit Profile”
In the top right corner of the horse profile, click the “Edit” button.
Find Location Section
Scroll to the “Barn Location” or “Location” section of the profile form.
Select Barn
Click the “Barn” dropdown and select the barn where the horse is located:
- Choose from your configured barn locations
- The barn’s color appears next to its name
Enter Stall Number
In the “Stall” field, enter the stall number or identifier:
- Use your facility’s stall numbering system
- Examples: “8”, “12”, “A-1”, “Corner stall”, etc.
- Be consistent with how you label stalls
Add Location Notes (Optional)
Include any special location information:
- “Stall 8 - end of north aisle”
- “Large corner stall - needs two hay nets”
- “Next to mare’s best friend in Stall 9”
Save Profile
Click “Save Profile” to save the location assignment. The barn color now appears next to the horse throughout EquineOps.
Quick Assignment: You can also assign multiple horses to a barn at once from the Barn Management view. This is useful when moving groups of horses or setting up a new barn.
Viewing Barn Occupancy
See which horses are in each barn and which stalls are available:
Barn View
Access the barn occupancy view:
- Go to “Horses” page
- Select “View by Barn” or “Barn Map”
- Choose a barn to view its occupancy
This shows:
- All horses currently in that barn
- Which stalls are occupied
- Which stalls are empty
- Quick access to each horse’s profile
Filtering by Barn
Filter the horse list to show only horses in a specific barn:
- Go to the “Horses” page
- Click “Filter”
- Select “Barn Location”
- Choose the barn
- View only horses in that barn
Perfect for barn-specific tasks like planning feeding routes or coordinating farrier visits.
Moving Horses Between Stalls
When you need to move horses to different locations:
Identify the Move
Determine which horse needs to move and where:
- New stall in same barn?
- Different barn entirely?
- Temporary (vet treatment) or permanent?
Edit Horse Profile
Open the horse’s profile and click “Edit Profile”.
Update Location
Change the “Barn” and/or “Stall” fields:
- Select new barn from dropdown
- Enter new stall number
- Update any location notes
Add Move Notes
Document the move in the horse’s notes:
- Why the move happened
- Date of move
- Previous location
- Any special considerations
Save Changes
Click “Save Profile” to update the location. The horse now appears in the new location throughout EquineOps.
Update Related Tasks (If Needed)
If the move affects any tasks or schedules:
- Update task locations if they reference specific barns
- Notify staff of the change
- Adjust feeding routes or turnout groups
Location History: EquineOps tracks location changes over time, so you can see historical stall assignments and movement patterns if needed.
Barn Location Best Practices
Consistent Stall Numbering
Use a logical, consistent system for stall numbers:
Good Systems:
- Sequential: 1, 2, 3, 4… down each aisle
- By Aisle: A-1, A-2, A-3… then B-1, B-2, B-3…
- Building-Aisle-Stall: MB-A-1 (Main Barn, Aisle A, Stall 1)
Avoid:
- Skipping numbers randomly
- Using inconsistent formats in same barn
- Changing numbering systems frequently
Keep Locations Current
Update location assignments promptly:
- When horses move to new stalls
- When horses go to shows or clinics (temporary)
- When horses leave the facility (clear location)
- After barn reorganizations
