Service Providers: For Barns

Learn how to invite veterinarians, farriers, and other service providers to EquineOps, manage their access, and streamline your barn’s operations.

Why Connect With Service Providers?

Connecting your service providers to EquineOps eliminates manual data entry and improves communication:

  • No more re-typing: Providers enter records directly
  • Complete history: All service records in one place
  • Better coordination: Request visits and share information seamlessly
  • Reduced errors: Providers enter their own data accurately
  • Time savings: Focus on horse care, not paperwork

Barns using service provider connections report saving 2-3 hours per week on administrative tasks.

Inviting a Service Provider

From the main menu, click “Service Providers” to access the provider management area.

Click “Invite Provider”

Click the ”+ Invite Provider” button in the top right corner.

Enter Provider Information

Fill in the provider’s details:

Required:

  • Provider Name: Business name or individual’s name
  • Email Address: Where to send the invitation
  • Provider Type: Veterinarian, Farrier, Dentist, etc.

Optional:

  • Phone Number: For direct contact
  • Business Name: If different from provider name
  • Notes: Special instructions or context

Choose Access Level

Select what the provider can access:

Horse Access:

  • All Horses: Provider can see all horses on your barn
  • Specific Horses: Choose individual horses
  • By Barn/Location: Access based on location

Record Access:

  • Full History: Complete records for assigned horses
  • Recent Only: Last 12 months of records
  • Current Status Only: Active conditions and schedules

Start with limited access and expand as needed. You can always adjust permissions later.

Send the Invitation

Click “Send Invitation” to email the provider. They’ll receive:

  • Welcome message with your barn name
  • Link to accept the invitation
  • Instructions for getting started

Track Invitation Status

View pending invitations in the Service Providers section:

  • Pending: Invitation sent, awaiting response
  • Accepted: Provider has joined and can access your barn
  • Declined: Provider declined (you can resend or invite again)
  • Expired: Invitation expired after 30 days (resend if needed)

Managing Provider Access

Once providers accept invitations, you can manage their access:

Viewing Current Providers

The Service Providers page shows:

  • All connected providers
  • Their type and specialization
  • Access level granted
  • Last activity date
  • Quick actions

Adjusting Access

To change what a provider can see:

  1. Click on the provider’s name
  2. Click “Edit Access”
  3. Modify horse assignments or record access
  4. Click “Save Changes”

Changes take effect immediately.

Removing Provider Access

If you no longer work with a provider:

  1. Click on the provider’s name
  2. Click “Remove Access”
  3. Confirm the action

Removing access is immediate. The provider will no longer see your horses or records. Historical records they created remain in your system.

Requesting Visits

Schedule service visits directly through EquineOps:

Create Visit Request

  1. Go to the horse’s profile or the Service Providers section
  2. Click “Request Visit”
  3. Select the provider
  4. Choose the service type

Provide Details

Fill in visit information:

  • Preferred Date/Time: When you’d like the visit
  • Horses Included: Which horses need service
  • Special Instructions: Anything the provider should know
  • Urgency: Routine, Soon, or Urgent

Send Request

Click “Send Request”. The provider receives a notification with all details.

Track Status

Monitor your request:

  • Sent: Request delivered to provider
  • Confirmed: Provider accepted with scheduled date/time
  • Completed: Visit finished, records added
  • Rescheduled: New date/time proposed

Confirming Upcoming Visits

When a connected provider (farrier, dentist, vet, etc.) has an upcoming appointment at your barn, you’ll receive a text message reminder 7 days and 24 hours before the visit. Each reminder includes a Confirm link so you can quickly let the provider know whether the appointment still works for you.

Confirming is optional — the visit stays on the provider’s schedule regardless. It’s just a quick way to give them peace of mind that you’re ready for them.

From the SMS Reminder

The easiest path — no login required:

Open the Text Message

Look for a message like this on the phone number you gave your provider:

Reminder: Smith Farrier has a visit scheduled at your barn in 7 days (2026-04-20). Reply STOP to opt out. Confirm: https://app.equineops.com/c/…

You’ll land on a simple page showing the appointment date, the horses scheduled, and any notes from the provider. No login — the link itself is your authorization.

Choose Confirm or Decline

  • Confirm appointment — Locks it in. The provider sees a green confirmed badge on their end and the 24-hour reminder won’t ask you again.
  • Decline — Tells the provider this time doesn’t work. Follow up directly to reschedule.

Confirmation links expire 48 hours after the appointment date. If you miss the window, just contact your provider directly.

From Inside EquineOps (Barn Organizations)

If your farm has its own EquineOps account and is connected to the provider’s organization, you can also confirm from inside the app — useful if you manage a busy barn and want to review several upcoming visits in one place.

From the main navigation, open Providers and select Appointments. You’ll see every upcoming visit from every connected provider in one list, with a status badge and a confirmation badge on each row.

Filter by Confirmation Status

Use the filter dropdown to show only appointments that are still pending confirmation, so you can clear the backlog quickly.

Open an Appointment

Click any row to see the full details — date, provider, horses scheduled, notes.

Confirm or Decline

Admins and managers will see Confirm and Decline buttons at the bottom of the detail page. Click one; the status updates instantly and your provider sees it on their end.

Only barn admins and managers can confirm or decline appointments from inside EquineOps. Members can view the list but not respond. The SMS link doesn’t have this restriction — whoever holds the phone that received the message can confirm.

Why Confirm at All?

Providers who drive between multiple barns appreciate knowing which stops are locked in. A confirmed visit means:

  • The provider can plan their day and route with confidence
  • You won’t get a last-minute “are we still on?” call
  • If something changes on your end, declining gives the provider time to reschedule and fill the slot

It’s entirely optional, but a quick tap costs nothing and saves everyone time.

Viewing Provider Records

When providers complete visits, records appear automatically:

In Horse Profiles

Visit records show in the appropriate section:

  • Farrier visits in the horse’s farrier history
  • Vet visits in health records
  • Other services in their respective areas

Provider Attribution

Each record shows:

  • Who performed the service
  • When it was completed
  • What was done
  • Notes and recommendations
  • Attachments (photos, documents)

Record Verification

You can review and verify provider entries:

  1. Open the record
  2. Review details
  3. Add your own notes if needed
  4. Records are automatically linked to the horse’s profile

Best Practices

Before Inviting Providers

Prepare your data:

  • Ensure horse profiles are up to date
  • Verify horse locations are accurate
  • Review any special instructions per horse
  • Confirm provider contact information

Set expectations:

  • Explain what information you’ll share
  • Discuss how visits will be requested
  • Agree on typical response times
  • Clarify any specific workflows

Managing Multiple Providers

For barns with several providers:

  • Assign horses consistently to appropriate providers
  • Use provider types to organize and filter
  • Review access permissions quarterly
  • Keep provider contact information current

Communication

Keep providers informed:

  • Update horse conditions that affect their work
  • Share schedule changes promptly
  • Acknowledge completed visits
  • Provide feedback when helpful

Veterinarians

  • Grant access to complete health history

  1. Request exam or treatment
  2. Vet reviews horse history before visit
  3. Vet completes exam and enters findings
  4. Barn receives notification with results
  5. Follow-up tasks created automatically

Farriers

Best practices:

  • Share hoof condition notes and history
  • Include special shoeing instructions
  • Provide trimming schedule preferences
  • Note any lameness or sensitivity issues

Typical workflow:

  1. Farrier receives recurring appointment reminder
  2. Completes scheduled horses
  3. Enters observations and work performed
  4. Notes next recommended date
  5. Barn confirms completion

Dentists

Best practices:

  • Include dental history and past work
  • Note any eating or behavior issues
  • Share sedation preferences if applicable
  • Provide age and health context

Other Specialists

Provider Invoices

When connected providers send you invoices through EquineOps, they appear in your Expenses → Provider Bills section:

  • View invoice details including line items, amounts, and tax
  • See invoice status (draft, sent, viewed, paid, overdue)
  • Record payments to providers
  • Track payment history

Providers who use the Team plan may sync their invoices to QuickBooks. This does not affect your view — you still see and manage invoices through the Provider Bills page.

Privacy Considerations

What Providers Can See

Providers see only what you grant access to:

  • Horse profiles for assigned horses
  • Relevant historical records
  • Special instructions and notes
  • Your farm’s contact information

What Providers Cannot See

Providers cannot access:

  • Financial or billing information
  • Other horses not assigned to them
  • Staff details or schedules
  • Client information
  • Internal farm notes (unless shared)

Data Ownership

  • Records created by providers belong to your barn
  • Removing a provider retains all historical records
  • You can export all records at any time
  • Providers retain copies of records they created

Troubleshooting

Provider Didn’t Receive Invitation

  1. Verify email address is correct
  2. Ask provider to check spam folder
  3. Click “Resend Invitation” from provider list
  4. Try alternate email if available

Provider Can’t Access Expected Horses

  1. Review access permissions for the provider
  2. Ensure horses are assigned to the provider
  3. Check that horses aren’t archived
  4. Verify provider has correct provider type

Records Not Appearing

  1. Confirm provider completed the visit in EquineOps
  2. Check the correct horse profile
  3. Verify record date range you’re viewing
  4. Contact provider to confirm they entered records

Communication Issues

  1. Verify provider’s contact information
  2. Check notification settings
  3. Use the messaging feature in EquineOps
  4. Follow up directly if urgent

Frequently Asked Questions

Can I invite a provider who serves other barns?

Yes! Providers can connect with multiple barns. Each barn has independent control over what that provider can access.

What if my provider isn’t on EquineOps yet?

Your invitation will prompt them to create an account. The signup process is simple and providers can start using the platform immediately.

Can providers see information from my other service providers?

No. Each provider only sees records relevant to their specialty and the horses you’ve granted them access to.

How do I handle emergency situations?

Use the “Urgent” flag when requesting visits. Providers receive priority notifications for urgent requests.

Can I give a provider temporary access?

Yes. You can set access to expire after a certain date, or simply remove access when the temporary need ends.
