QuickBooks Invoice Mirroring

When QuickBooks is connected, every invoice and payment you create in EquineOps is mirrored to QuickBooks automatically — your books stay current without re-entering anything.

EquineOps sends the invoice; QuickBooks keeps the record. Your client receives one email, from EquineOps. The QuickBooks copy is for your accounting only — QuickBooks never emails your client.

Setup

There’s almost nothing to set up:

Connect QuickBooks

If you haven’t already, connect QuickBooks from the Integrations page — see Connecting QuickBooks.

Send your first invoice

Invoice mirroring switches on automatically the first time you send an invoice. You can see its status anytime under Integrations → QuickBooks → Invoicing.

That’s it. Behind the scenes, EquineOps also makes sure the pieces QuickBooks needs exist:

  • The client is created as a QuickBooks Customer if they aren’t one already (the same customer sync used for expenses and clients).
  • A “Training Services” service item is found or created in QuickBooks — QuickBooks requires invoice lines to reference a product/service item, and all EquineOps invoice lines use this one. You can see which item is in use on the QuickBooks integration page.

Syncing runs automatically about once an hour during business hours. Need it sooner? Click Sync Invoices Now on the QuickBooks integration page.

No Double Billing

Here’s the part that protects you: when you record a client expense in EquineOps, it syncs to QuickBooks flagged as billable to that customer. That means someone working directly in QuickBooks could also pull it onto a QuickBooks-created invoice.

To prevent the same expense being billed twice, once an expense lands on a sent EquineOps invoice, its QuickBooks copy is automatically flipped to not billable — it can no longer be picked up by a separate QuickBooks invoice. If you void the invoice, the expense flips back to billable.

Treat EquineOps as the place you invoice clients. Avoid manually creating invoices in QuickBooks for the same work — EquineOps protects tracked expenses from double billing, but it can’t know about free-form charges you add in both places.

Multi-Currency Invoices

If you invoice in a currency other than your organization’s default (e.g., a EUR invoice with a USD default), the QuickBooks copy is created in that currency — but only if multicurrency is enabled in your QuickBooks company settings. If it isn’t, the EquineOps invoice still sends and tracks normally; only the QuickBooks copy fails, with the reason shown on the invoice.

Troubleshooting

An invoice shows a QuickBooks sync error. Open the invoice — the error detail is shown next to the sync status. Common causes:

  • Client isn’t in QuickBooks yet — the customer sync runs first each cycle; this usually resolves itself on the next hourly sync.
  • No income account in QuickBooks — the “Training Services” item needs an income account to be created against; add one in QuickBooks.
  • Multicurrency not enabled — see above.

Fix the cause, then click Sync Invoices Now or wait for the next hourly cycle — failed invoices retry automatically.

The invoice never appears in QuickBooks. Drafts don’t sync — only sent invoices. Also check the QuickBooks connection health on the Integrations page; a disconnected integration pauses all syncing (see QuickBooks Troubleshooting).

A QuickBooks hiccup never blocks your billing: the invoice still sends to your client, payments still record, and the mirror catches up once syncing succeeds. EquineOps is always the source of truth for invoice status.
