Sharing with Clients
Configure how clients see photos and videos of their horses through the client portal, balancing transparency with privacy.
Client portal media sharing keeps horse owners informed and engaged without constant manual photo updates. Understanding visibility controls ensures you share appropriate content while protecting privacy for all clients.
Overview
EquineOps provides automatic and manual media sharing options:
Automatic Sharing: Photos tagged with a client’s horses automatically appear in their portal
Manual Sharing: Explicitly share specific photos with selected clients
Privacy Protection: Clients can only see photos you’ve shared with them or of their horses
No Configuration Required: Basic sharing works out of the box
What Clients Can See
By default, clients viewing their portal can see:
Their Horses’ Photos
Any photo or video tagged with a horse assigned to their client profile:
- Daily care photos
- Training session videos
- Turnout and paddock photos
- Health documentation (if enabled)
- Show and competition media
Example: If Sarah owns “Luna” and “Jasper”, she automatically sees all photos tagged with Luna or Jasper.
Shared Event Media
Photos from events where their horses were involved:
- Show day photos (their horses + venue)
- Group activity photos
- Facility photos if marked for client viewing
- Barn update photos shared with all clients
Explicitly Shared Media
Photos you manually share with specific clients:
- Special occasion photos
- General barn updates
- Educational content
- Promotional materials
Automatic Privacy: Clients NEVER see other clients’ horses unless you explicitly share those photos. Privacy is automatic and secure.
What Clients Cannot See
Clients cannot see:
Other Clients’ Horses
- Photos of horses not assigned to them
- Videos featuring only other clients’ horses
- Private documentation of other horses
Private/Internal Media
- Photos marked as “Staff Only”
- Internal documentation
- Behind-the-scenes operations
- Private facility photos
Untagged Media
- Photos not tagged with any horses
- Media not explicitly shared
- Administrative screenshots
- Staff training materials
Sensitive Content
- Injury documentation marked private
- Veterinary procedures (unless shared)
- Financial documents
- Staff-only communications
Client Portal Media View
When clients log into their portal, they see:
Media Gallery
Display Format:
- Grid view of all accessible photos/videos
- Organized by date (most recent first)
- Thumbnail previews
- Click to view full size
Filtering Options:
- Filter by specific horse
- Filter by date range
- Filter by event type
- Search by description
Individual Horse Profiles
Within Each Horse’s Profile:
- Media tab showing photos of that horse
- Organized chronologically
- Quick access to recent photos

Recent Updates Section
Dashboard View:
- Latest photos across all their horses

Enabling Photo Sharing for a Client
Navigate to Client Profile
From your dashboard, click “Clients” in the main navigation. Find the client you want to configure and click their profile.
Open Sharing Settings
In the client profile, click the “Portal Settings” tab or “Media Sharing” section.
Configure Automatic Sharing
Enable/Disable Automatic Sharing:
Enabled (Default)
Automatic Sharing Enabled
Photos tagged with their horses automatically appear in their portal.
Settings:
- Toggle: ON
- Effect: Immediate visibility of horse photos
- Best for: Most clients who want regular updates
What They See:
- All photos of their horses
- Event photos including their horses
- Recent uploads appear immediately
When to Use:
- Standard client relationships
- Clients who want proactive updates
- Active engagement desired
Set Photo Visibility Rules
Configure what types of photos they can see:
Training Photos: Show/hide training session photos
- Default: Shown
- Includes: Riding, groundwork, training progress
Health Photos: Show/hide health documentation
- Default: Hidden (for privacy)
- Includes: Veterinary, injuries, medical procedures
Event Photos: Show/hide show/competition media
- Default: Shown
- Includes: Shows, competitions, special events
Daily Care Photos: Show/hide routine care media
- Default: Shown
- Includes: Grooming, turnout, feeding
Facility Photos: Show/hide general barn photos
- Default: Client Choice
- Includes: Barn updates, facility improvements
Configure Download Permissions
Control whether clients can download photos:
Download Allowed:
- Clients can download photos to their devices
- Useful for personal archives
- Risk: Photos shared outside portal
Download Disabled:
- View-only access
- Photos stay within portal
- Better control over distribution
Watermark Option:
- Add barn logo/name to downloads
- Protects photo ownership
- Allows downloads with attribution
Consider Download Implications: If clients can download, they can share photos outside your control. Watermarking helps with attribution.
Set Notification Preferences
Choose how clients are notified of new photos:
Real-Time Notifications:
- Push notification when photo uploaded
- Email notification
- Best for: Clients who want immediate updates
Daily Digest:
- Daily summary of new photos
- Sent at specified time
- Best for: Reducing notification fatigue
Weekly Summary:
- Weekly photo recap
- Good for less active clients
- Reduces notification volume
Manual/No Notifications:
- Clients check portal manually
- No automatic notifications
- Best for: Self-service clients
Save Sharing Settings
Click “Save Settings” to apply your configuration. Changes take effect immediately for that client.
Per-Client Settings: These settings apply to one client. Configure each client according to their preferences and your agreement.
Manual Photo Sharing
Share specific photos with selected clients beyond automatic sharing:
Select Photos to Share
From the Media page:
- Check boxes next to photos you want to share
- Or open a single photo and click “Share”
Choose Recipients
Share with Specific Clients:
- Click “Share with Clients” button
- Select one or more clients from list
- Add optional message about the photos
- Set expiration date (optional)
Share with All Clients:
- Click “Share with All Clients”
- Useful for barn updates or announcements
- Add message explaining the photos
Share Publicly:
- Select “Make Public” option
- Photo becomes visible to all portal users
- Use for facility photos, events, marketing
Add Sharing Message
Include context for shared photos:
- Why you’re sharing
- What to look for
- Relevant updates or information
- Call to action if applicable
Example Messages:
- “Here’s Luna’s progress from this week’s training!”
- “New arena footing installed - check out the improvements”
- “Great show weekend! Your horse looked amazing”
Set Sharing Duration
Permanent Sharing: Photo remains visible indefinitely
Temporary Sharing: Photo visible until expiration date
- Useful for time-sensitive updates
- Automatic removal after date
- Good for event photos
Send Share Notification
Choose notification method:
- Push notification (mobile app)
- Email with photo preview
- In-app notification only
- No notification (passive sharing)
Confirm Sharing
Click “Share” to complete the process. Selected clients can immediately see shared photos in their portal.

Respect Individual Privacy
Never Share:
- Photos of other clients’ horses without permission
- Sensitive health information across clients
- Personal information in photo backgrounds

- Would this client want others seeing their horse?
- Does this photo reveal sensitive information?

Default to Conservative Sharing
When in doubt:

Health Photos Default Private: Always mark health-related photos as private unless you explicitly share them with the horse’s owner.

Situation: You want to share weekly training progress with each client.
Approach:
- Take training videos weekly
- Tag with appropriate horses
- Automatic sharing sends to owners
- No manual intervention needed

Scenario 2: Show Weekend Photos
Situation: Multiple clients’ horses attended a show. You have group photos and individual photos.

What if I accidentally share the wrong photo?
Unshare immediately:
- Open the photo
- Click “Manage Sharing”

Only if you enable download permissions in their portal settings. Default is view-only.
Will clients be notified of every new photo?
Only if you enable notifications in their settings. You can choose real-time, daily, weekly, or no notifications.
Can I share photos via email instead of the portal?
Yes, but the portal is more efficient. You can export and email specific photos if requested.
What if a client doesn’t have portal access?
Create portal access for them or send photos directly via email. Portal is recommended for consistency.
Can clients comment on photos?
This depends on your EquineOps plan features. Check your plan or contact support.
