Health Program
The Health Program helps you track all veterinary care for your horses, including vaccinations, deworming, dental work, and general vet visits. Each horse automatically gets a Health Program when added to EquineOps.
What the Health Program Tracks
The Health Program is designed to track four main types of health care:
📋 Vaccination Records
Track all vaccines your horse receives, including:
- Vaccine names and manufacturers
- Administration dates
- Veterinarian who administered
- Next due dates
- Cost per visit
🐛 Deworming History
Record deworming treatments with:
- Dewormer product names
- Active ingredients
- Treatment dates
- Next recommended treatment date
- Seasonal rotation tracking
🦷 Dental Work
Log dental procedures including:
- Routine floating
- Dental exams
- Extractions or repairs
- Dental professional information
- Follow-up schedules
🏥 Veterinary Visits
Track general vet visits for:
- Wellness exams
- Lameness evaluations
- Illness or injury treatment
- Pre-purchase exams
- Any other vet care
Key Features
Multiple Products Per Visit
One of the most powerful features of the Health Program is the ability to track multiple products in a single visit.
Example: During a spring wellness visit, your vet might administer 4 vaccines, give a dewormer, and do a dental exam. You can record all of this as one visit with 6 different products.
Automatic Due Date Tracking
Set “next due” dates for each health activity. EquineOps will:
- Show upcoming health items on your dashboard
- Alert you when items are coming due
- Flag overdue items for immediate attention
Veterinarian Assignment
Assign specific veterinarians to health visits to track:
- Which vet provided each service
- Preferred vets for different types of care
- Contact information for follow-up
Complete Health History
View a chronological health history for each horse showing:
- All health visits over time
- Products administered at each visit
- Costs and veterinarians
- Upcoming and overdue items
Recording a Health Visit
Navigate to the Horse’s Health Program
- Go to Horses in the main navigation
- Select the horse you want to record health care for
- Click the Health tab
Click “Record Health Visit”
Click the ”+ Record Health Visit” button to open the health visit form.
Select Health Type
Choose the primary type of visit:
- Vaccination
- Deworming
- Dental
- Veterinary (general vet visit)
Tip: Choose the primary purpose of the visit. You can add additional products of different types in the next step.
Enter Visit Details
Fill in the basic visit information:
- Date: When the visit occurred (defaults to today)
- Veterinarian: Select from your staff list or leave blank
- Cost: Total cost for the entire visit (optional)
- Notes: Any additional information about the visit
Add Products
Click ”+ Add Product” to record what was administered:
- Product Name: Name of the vaccine, dewormer, or procedure
- Type: Select the health type (can be different from the main visit type)
- Next Due Date: When this product should be administered again (optional)
- Product Notes: Specific notes about this product (optional)
Multiple Products: Keep clicking ”+ Add Product” to add as many items as needed. This is perfect for visits where multiple vaccines or procedures are performed.
Set Next Due Dates
For each product, you can optionally set a “next due” date. This helps you track:
- Annual vaccines (Rabies, EEE/WEE, etc.)
- Seasonal boosters
- Deworming schedules (every 8-12 weeks)
- Dental exams (annual or semi-annual)
Save the Health Visit
Click “Save Health Visit” to record all the information. The visit will appear in:
- The horse’s health history
- Your dashboard (if items are coming due soon)
- Universal search results
Quick Editing: All health records can be edited by clicking on them - a dialog opens so you can update details without leaving the page.

Best Practice: Record each vaccine as a separate product, even if given during the same visit.

Viewing Health Records
Individual Horse Health View
Each horse’s Health tab shows:
Upcoming Items (at the top):
- Health items due within 30 days
- Sorted by due date (soonest first)
- Color-coded by urgency
Overdue Items (highlighted in red):
- Items past their due date
- Need immediate attention
Health History (below):
- All past health visits
- Sorted by date (newest first)
- Click any visit to see full details
Dashboard Health Widgets
Your dashboard shows health information across all horses:
Upcoming Health Items:
- Next 10 items due across all horses
- Click to jump to that horse’s health page
Overdue Health Items:
- All overdue items requiring attention
- Sorted by how overdue they are
Search Health Records
Use universal search to find:
- Specific vaccines: “Rabies” or “West Nile”
- Health visit types: “Deworming” or “Dental”
- Veterinarians: “Dr. Johnson”
- Date ranges: Filter by visit date
Managing Due Dates
Setting Smart Due Dates
Annual Vaccines: Set exactly 1 year from administration
- Example: Rabies given March 15 → Next due March 15 next year
Seasonal Boosters: Set for beginning of season
- Example: Flu/Rhino spring shot → Next due October 1 (fall)
Deworming: Set based on your rotation schedule
- Example: Every 10-12 weeks based on fecal egg counts
Dental: Set based on horse’s needs
- Example: Young horses or those with dental issues → Every 6 months
- Example: Healthy adults → Every 12 months
Updating Due Dates
You can update due dates at any time:
- Go to the horse’s Health tab
- Find the item in Upcoming Items
- Click the edit icon
- Update the next due date
- Save changes
Important: Updating a due date doesn’t create a new health visit. It only changes when the item is due next.
Batch Operations
Recording the Same Health Visit for Multiple Horses
When you need to record the same health care for multiple horses (like spring vaccines for the entire barn):
Use the Batch Health Visit Feature
- Go to Horses → Programs → Health
- Click “Batch Record Health Visit”
Select Horses
Choose all horses receiving the same care:
- Select individual horses from the list
- Or use “Select All” for barn-wide care
Enter Visit Details Once
Fill in the visit information:
- Date
- Veterinarian
- Cost per horse (or total cost to split)
- Products administered
Save to Apply to All
Click “Save” to create identical health visits for all selected horses.

Assigning Veterinarians
Adding Vets to Your Staff List
Before you can assign a vet to a health visit:
- Go to Settings → Staff
- Click ”+ Add Staff Member”
- Fill in the vet’s information:
- Name
- Role: Select “Veterinarian”
- Contact information
- License number (optional)
Using Multiple Veterinarians
You can track multiple vets for different purposes:
- Primary care vet: Routine wellness and vaccines
- Lameness specialist: Sports medicine
- Reproduction vet: Breeding services
- Emergency vet clinic: After-hours care
Assign the appropriate vet to each health visit to maintain accurate records.
Best Practices
Record Visits Promptly
Record health visits the same day they occur while details are fresh. This ensures:
- Accurate dates and products
- Complete notes
- Proper due date setting
Be Specific with Product Names
Use specific product names rather than generic terms:
- ✅ “Vetera Gold (EEE/WEE/Tetanus)”
- ❌ “Vaccines”
This helps with:
- Accurate record keeping
- Product tracking
- Future reference
Track All Products
Record every product administered during a visit:
- Each vaccine
- Dewormer given
- Any medications
- Procedures performed

Set Realistic Due Dates
Only set due dates for items that truly need to be tracked:
- ✅ Annual vaccines, deworming schedules
- ❌ One-time treatments that don’t need follow-up
This keeps your upcoming items list manageable.
Use Notes Effectively
Add notes to record:
- Horse’s reaction to treatment
- Vet’s recommendations
- Follow-up instructions
- Unusual findings
These notes provide valuable context for future care.
Review Regularly
Check your Health Dashboard weekly:
- Identify upcoming items
- Schedule vet visits
- Ensure nothing is overdue

Common Questions
Q: What if my vet gave multiple vaccines but I don’t know all the names?
A: Record what you know and add notes. You can update the visit later with specific product names. It’s better to record the visit with incomplete info than to wait.
Q: Should I record barn staff administering dewormers?
A: Yes! You can leave the veterinarian field blank or create a staff member for “Barn Staff” to track these administrations.
Q: Can I upload documents like Coggins or health certificates?
A: Yes! Use the Documents feature on the horse’s profile to upload PDFs of health certificates, Coggins, and vaccination records.
Q: How do I track medications that aren’t part of a vet visit?
A: Create a general Veterinary visit and add the medication as a product. Include administration dates and dosage in the notes.
Q: What if I need to track something not covered by these four types?
A: Use the General Veterinary visit type and describe the procedure in the product name and notes.
Q: Can I delete a health visit if I recorded it wrong?
A: Yes, you can edit or delete health visits. Click on the visit in the health history and select edit or delete.

Due Dates Not Showing on Dashboard

- Is the due date within the next 60 days?
- Is the horse currently active (not archived)?

Can’t Find a Health Visit

- Check the horse’s complete health history (scroll down)
- Use universal search with horse name + health type
- Filter by date range
Wrong Veterinarian Assigned
Fix:
- Click on the health visit
- Select “Edit”
- Change the veterinarian
- Save changes
