Training Board

The Training Board is a weekly planning tool that helps you organize and track training activities for all your horses. Unlike task lists which are project-based, the Training Board gives you a week-at-a-glance view where each horse can have multiple activities per day, organized in a grid format.

Perfect for: Professional trainers managing daily training schedules, turnout rotations, conditioning programs, and any recurring activities where you need to see the whole week at once.

How the Training Board Works

The Training Board displays a grid with:

  • Rows: Each horse in your organization (alphabetically)
  • Columns: Days of the week (Sunday through Saturday)
  • Cells: Up to 20 tasks per horse per day, with drag-and-drop reordering

This layout makes it easy to:

  • Plan the week ahead
  • See who’s doing what each day
  • Identify gaps in the schedule
  • Coordinate staff assignments

Accessing the Training Board

Click Programs in the main navigation.

Select Training Board

Click Training Board from the programs menu.

View Current Week

The board opens showing the current week (Sunday-Saturday). Today’s column is highlighted.

Moving Between Weeks

Use the navigation controls at the top of the board:

  • Previous Week Arrow: Move to the previous week
  • Next Week Arrow: Move to the following week
  • Today Button: Jump back to the current week

Date Display

The header shows the date range for the displayed week (e.g., “Dec 29, 2024 - Jan 4, 2025”).

Adding Training Tasks

Click an Empty Cell

Find the horse and day you want to schedule, then click the empty cell.

Select or Type a Task

A dropdown appears with task suggestions. You can:

  • Select a suggestion: Click any pre-populated task
  • Type a custom task: Start typing to filter suggestions or create a new task

Task is Saved Automatically

Once you select or enter a task, it’s saved immediately. No need to click a save button.

Smart Suggestions: The Training Board learns from your entries. Tasks you use frequently appear at the top of the suggestions list.

Task Suggestions

The system comes with common equestrian activities pre-populated:

Training Activities:

  • Flatwork
  • Jumping
  • Lunging
  • Groundwork
  • Trail Ride
  • Arena Work
  • Light Hack

Turnout & Rest:

  • Turnout
  • Day Off
  • Spa Day
  • Rest Day

You can also create your own task names. Any task you enter will appear in future suggestions.

Assigning Staff

Each training entry can optionally have a staff member assigned:

Click the Staff Icon

After entering a task, click the staff icon in the cell.

Select Staff Member

Choose from your team members.

Assignment Saved

The staff member’s initials or name appears in the cell.

Staff assignments help coordinate who’s responsible for each horse’s training.

Marking Tasks Complete

Each cell has a completion checkbox:

Find the Checkbox

Look for the checkbox icon in the cell (appears on hover or always visible depending on your view).

Click to Complete

Click the checkbox to mark the task as done. The cell shows a checkmark indicator.

Uncheck if Needed

Click again to unmark if the task wasn’t completed.

Copy Operations

The Training Board includes powerful copy features to speed up scheduling.

Copy to Next Day

Copy all tasks from one day to the following day:

Find the Copy Button

Each day column has a “Copy to Next Day” button in the header (arrow pointing right).

Click to Copy

Click the button to copy all tasks from that day to the next.

Review Copied Tasks

Tasks appear in the next day’s column. Staff assignments are also copied.

Conflict Handling: If the target day already has tasks, you’ll be asked whether to skip existing entries or overwrite them.

Copy from Previous Week

Quickly replicate last week’s schedule:

Click “Copy from Previous Week”

Find this button in the board’s toolbar.

Choose Conflict Handling

Select whether to:

  • Skip: Keep existing entries, only fill empty cells
  • Overwrite: Replace all entries with last week’s schedule

Schedule is Copied

All tasks from the previous week appear in the current week.

Time Saver: If your weekly schedule is similar week-to-week, use “Copy from Previous Week” and then make adjustments. This is much faster than entering each task individually.

Mobile View

On phones and tablets, the Training Board adapts to a day-by-day view:

Desktop Grid View:

  • Full week visible at once
  • All horses in rows, days in columns
  • Click any cell to edit
  • Hover to see options

The mobile view is optimized for quick updates in the barn - check off completed tasks, add notes, or adjust the schedule from your phone.

Print your weekly schedule to post in the barn:

Click the Print Button

Find the print icon in the board’s toolbar.

Preview the Schedule

A print-optimized view opens showing:

  • Week dates
  • Clean grid layout
  • All horses and tasks
  • Staff assignments
  • No checkboxes or edit controls

Use your browser’s print function to print or save as PDF.

Barn Posting: Many facilities print the weekly Training Board and post it in the tack room or barn aisle so everyone can see the day’s schedule at a glance.

Editing and Deleting Tasks

Edit a Task

Click the Cell

Click the cell containing the task you want to change.

Modify the Task

Type a new task name or select from suggestions.

Changes Save Automatically

Your edit is saved immediately.

Delete a Task

Click the Cell

Click the cell with the task to delete.

Clear the Field

Delete all text in the task field, or click the X/clear button.

Task is Removed

The cell becomes empty again.

Unlike other programs that use soft deletes, Training Board entries are permanently removed when deleted. This keeps the board clean and focused on the current schedule.

Who Can Access the Training Board

The Training Board is available to staff members based on their role:

Clients do not see the Training Board. If you need to share training schedules with clients, consider using the Activity Feed or posting updates on the horse’s profile.

Best Practices

Plan Weekly

Set aside time each week (Sunday evening or Monday morning) to plan the week’s training schedule. Use “Copy from Previous Week” as a starting point if your schedule is consistent.

Use Consistent Task Names

Stick to the suggested task names when possible. This makes:

  • Searching easier
  • Reports more accurate
  • Suggestions more relevant

Mark Complete Daily

Check off completed tasks throughout the day, not at the end. This keeps the board current and helps other staff members know what’s been done.

Print the weekly schedule and post it in a common area. Not everyone has constant phone access in the barn, and a printed schedule ensures everyone knows the plan.

Coordinate with Staff

If you assign staff to tasks, make sure they know to check the Training Board. Consider reviewing the board in morning meetings.

Adjust as Needed

Plans change - horses need rest days, weather affects outdoor training, things get rescheduled. Update the board when things change so it always reflects reality.

Common Questions

Q: Can I add multiple tasks per horse per day?

A: Yes, you can add up to 20 tasks per horse per day. Tasks can be reordered using drag and drop - just click and hold a task, then drag it to the desired position within the cell.

Q: What happens to old weeks?

A: Training Board data is kept for historical reference. You can navigate to past weeks to see what was scheduled and completed.

Q: Can I set up recurring tasks on the Training Board?

A: The Training Board doesn’t have built-in recurring tasks. Instead, use “Copy from Previous Week” to quickly replicate schedules. For truly recurring tasks (like daily turnout), consider using the Tasks module with recurring task rules.

Q: Why can’t clients see the Training Board?

A: The Training Board is an internal planning tool for staff. Clients see horse activity through the Activity Feed and horse profiles, which provide a more appropriate client-facing view.

Q: Is the Training Board connected to the Health or Farrier programs?

A: No, the Training Board is independent. Health visits and farrier appointments should be recorded in their respective programs. The Training Board is specifically for training and daily activities.

Q: Can I export Training Board data?

A: Currently, you can print the board or save as PDF.
