Daily Rounds

Complete tasks multiple times per day with daily rounds - perfect for medications, feeding schedules, and regular health checks.

Daily rounds let you track tasks that need to be done several times throughout each day. Instead of creating separate tasks for “Morning Medication” and “Evening Medication,” you create one task with multiple completion rounds. This keeps your task lists clean while ensuring nothing gets missed.

Quick Tip: Daily rounds work great alongside recurring tasks! You can have a task that repeats daily AND requires multiple completions each day - like a medication that needs to be given 3 times per day, every day.

What Are Daily Rounds?

Daily rounds allow a single task to require multiple completions within one day. Each completion is tracked separately, showing who completed it and when.

How Daily Rounds Work

  1. Create Task: Set up a task with multiple daily rounds (2-30 times per day)
  2. Name Each Round: Optionally give each round a custom label (Morning, Midday, Evening)
  3. Complete Individually: Check off each round as it’s done throughout the day
  4. Track Progress: See visual progress showing how many rounds are complete
  5. Full Completion: Task is fully complete only when ALL rounds are done

Example: A horse needs medication 3x per day.

With Daily Rounds:

  • Three separate tasks cluttering your list

Medication Administration

Multiple Daily Doses:

  • Antibiotics: 2x daily (Morning, Evening)
  • Pain medication: 3x daily (8 AM, 2 PM, 8 PM)
  • Supplements: 2x daily with meals

Benefit: Never miss a dose - see at a glance how many times medication has been given today.

Feeding Schedules

Typical Feeding Rounds:

  • 2x daily: Morning feed, Evening feed
  • 3x daily: Breakfast, Lunch, Dinner
  • 4x daily: Early morning, Mid-morning, Afternoon, Evening (for horses on restricted diets)

Benefit: Ensure all feedings are done, even when multiple staff members are involved.

Health Monitoring

Regular Check-ins:

  • Post-surgery checks: Every 4 hours (6 rounds per day)
  • Colic watch: Every 2 hours (12 rounds per day)
  • Foal monitoring: Multiple times per day

Benefit: Track exactly when each check was done and by whom.

Training Sessions

Multiple Sessions Per Day:

  • Morning groundwork, Afternoon under-saddle
  • Lunging AM, Riding PM
  • Conditioning sessions throughout the day

Benefit: Keep all training activities organized under one task per horse.

Turnout Management

Rotation Schedules:

  • Morning turnout, Evening bring-in
  • Multiple paddock rotations per day

Benefit: Clear tracking of turnout times for each horse.

Setting Up Daily Rounds

Create or Edit a Task

Navigate to your task list and either:

  • Click ”+ Add Task” to create a new task, or
  • Open an existing task and click “Edit”

Enable Daily Rounds

Look for the “Daily Rounds” section or toggle labeled “Complete multiple times per day”. Enable this option.

Set the Number of Rounds

Choose how many times per day the task needs to be completed:

  • Use the + and - buttons to adjust
  • Or type a number directly (2-30)
  • Quick buttons: 2x, 3x, 4x for common frequencies

Add Custom Labels (Optional)

By default, rounds are labeled “Round 1”, “Round 2”, etc. To use custom labels:

  1. Check the “Use custom labels” option
  2. Enter a name for each round

Suggested labels by frequency:

  • 2x daily: Morning, Evening
  • 3x daily: Morning, Midday, Evening
  • 4x daily: 6 AM, 12 PM, 6 PM, 10 PM

Custom labels make it clear exactly when each round should be completed.

Review Preview

The form shows a preview of your configuration:

“3 times per day: Morning, Midday, Evening”

Make sure this matches what you want.

Save the Task

Click “Create Task” or “Save Changes”. Your task is now set up with daily rounds!

Completing Daily Rounds

From the Task List

In your task list, multi-round tasks show progress dots and a completion count:

Progress Indicator:

●●○ 2/3
  • Filled dots = completed rounds
  • Empty dots = pending rounds
  • Number shows completed/total

Click the task to open the detail view and complete individual rounds.

From the Task Detail View

Open the task to see all rounds with their status:

Each round shows:

  • Round label (e.g., “Morning”)
  • Completion checkbox
  • When completed (e.g., “Completed at 8:15 AM”)
  • Who completed it

To complete a round:

  1. Click the checkbox next to the round
  2. Optionally add notes about this completion
  3. Round is marked complete with timestamp

To undo a completion:

  1. Click the checkbox again to uncheck
  2. Completion is removed

Bulk Complete/Incomplete

If you need to mark all rounds complete or incomplete at once:

  • Complete All: Use the main task checkbox to mark everything done
  • Reset All: Uncheck the main task checkbox to clear all rounds

Note: A task with daily rounds is only considered “complete” when ALL rounds are done. If 2 of 3 rounds are complete, the task still shows as in-progress.

Viewing Round History

Today’s Progress

In the task list and detail views, you can see:

  • How many rounds are complete today
  • Visual progress dots
  • Timestamp of each completion

Who Completed Each Round

Each round tracks:

  • Completed by: Staff member who marked it done
  • Completed at: Exact time of completion
  • Notes: Any notes added at completion

This creates accountability and helps with shift handovers.

Daily Rounds with Recurring Tasks

Daily rounds work seamlessly with recurring tasks. Here’s how they interact:

Setup

  1. Create a recurring task (e.g., daily)
  2. Enable daily rounds (e.g., 3x per day)
  3. Each generated task instance will have 3 rounds to complete

Daily Reset

When a new day’s task instance is generated:

  • Fresh round completions (all pending)
  • Previous day’s completions preserved in history
  • New opportunity to complete all rounds

Example

Task: “Give medication to Bella” (recurring daily, 3 rounds)

Monday’s instance:

  • Morning: ✓ Completed by John at 7:00 AM
  • Midday: ✓ Completed by Sarah at 12:30 PM
  • Evening: ✓ Completed by John at 6:00 PM
  • Status: Complete

Tuesday’s instance (auto-generated):

  • Morning: ○ Pending
  • Midday: ○ Pending
  • Evening: ○ Pending
  • Status: Incomplete (waiting for completions)

Tips and Best Practices

Choosing the Right Number of Rounds

  • 2 rounds: Morning/evening tasks, twice-daily medications
  • 3 rounds: Standard three-times-daily schedules
  • 4+ rounds: Frequent monitoring, training-heavy days
  • Keep it realistic: Don’t set more rounds than will actually be done

Meaningful Labels

Good labels tell staff when to complete each round:

Good Labels:

  • “6 AM”, “12 PM”, “6 PM”
  • “Before breakfast”, “After dinner”
  • “Morning turnout”, “Afternoon bring-in”

Avoid Vague Labels:

  • “Round 1”, “Round 2” (doesn’t indicate timing)
  • “First”, “Second” (unclear when)

Training Your Team

When introducing daily rounds:

  1. Explain the concept: One task, multiple completions
  2. Show the progress indicator: How to see what’s done
  3. Demonstrate completion: How to mark rounds done
  4. Emphasize timing: Complete rounds in order when possible
  5. Review regularly: Check that all rounds are being completed

Combine with Assignments

For multi-round tasks:

  • Assign to the person responsible for coordination
  • Or leave unassigned so anyone can complete rounds
  • Notes help with shift handovers

Troubleshooting

Task shows incomplete but I marked rounds done

Check: Are ALL rounds complete? The task only shows as complete when every round is done.

Solution: Open the task detail view and complete any remaining rounds.

Can’t find daily rounds option

Check: Are you on the task edit form? Daily rounds are configured when creating or editing a task.

Solution: Open the task, click Edit, and look for the “Daily Rounds” or “Complete multiple times per day” section.

Progress dots not showing

Check: Is the task configured with dailyFrequency > 1?

Solution: Edit the task and enable daily rounds with at least 2 completions per day.

Rounds reset unexpectedly

Check: Is this a recurring task? Each new day generates a fresh instance with all rounds pending.

This is expected behavior: Yesterday’s completed rounds stay with yesterday’s task instance. Today is a new task instance.

Wrong person showing as completer

Check: Who was logged in when the round was marked complete?

Note: The system records whoever clicked the completion checkbox. Make sure the correct user is logged in.
